Job Description

Integrated Construction, LLC continues to grow and we’re seeking a team-oriented multi-tasker with excellent communication skills, and a friendly, upbeat attitude for the role of Administrative Assistant/Receptionist.

 

The ideal candidate will be able to provide support to Executives and employees, handle standard office tasks, greet and direct all visitors while also providing polite and professional assistance via phone. Additionally, candidates should express a genuine desire to meet the needs of others, complete tasks efficiently and accurately while maintaining a helpful and positive presence in the workplace. This is a full-time position at our Jacksonville, FL. headquarters, Monday – Friday, 8:00 A.M. to 5:00 P.M.

Responsibilities:

  • Provide front-desk coverage by navigating callers to the right point of contact, greeting guests as they enter the office, managing incoming/outgoing mail and shipments, and maintaining an organized, clean office environment.
  • Provide secretarial support to Executives and staff as needed and perform clerical duties such as copying, scanning, and tasks/projects as assigned.
  • Act as liaison for employees with questions/issues related to company benefits.
  • Assist with project closeout documents.
  • Assist with various Business License applications and renewals across multiple counties and states. 
  • Plan, organize, and schedule company meetings/events in the office and off-site.
  • Order and oversee food deliveries for group meetings.
  • Assist in stocking and distribution of office supplies and snacks.
  • Maintain company calendar, send invite requests as directed.
  • Desire to be proactive and create a positive experience for others.
  • Additional clerical and other tasks as assigned.

 

Required Skills and Qualifications:

  • High school diploma or equivalent. Associate degree or 1 year minimum experience in administrative tasks/role preferred.
  • Strong written and verbal communication skills, time-management skills and multitasking ability.
  • Knowledge of office equipment including laptops, monitors, keyboards, desktop and commercial printers; copying, scanning, research and information tracking. 
  • Aptitude for learning new software, systems, and industry specific data.
